1. RFQ (Request for Quotation) – External

  • Based on customer-specific requirements.
  • Used primarily for custom, one-time, or project-based inquiries.

Step 1: RFQ And CS/ENGG Release
To initiate the RFQ process and complete CS/Engineering Release steps, follow the prerequisites in the order below:
  1. Create Customer Master
    Enter and save all required customer details.

  2. Create Item Master
    Define items for Purchase Parts (PP), Sub Assemblies (SA), and Finished Goods (FG).

  3. Create Engineering BOM
    Prepare BOMs for SA and FG items.

  4. Release BOM
    Release the BOM for Costing and Engineering stages.

  5. Create RFQ  β†’  View/Modify RFQ
    Once created, the system redirects to the View/Modify RFQ page automatically.

  6. CS Status  and  Engineering Status
    Mark both CS and Engineering as Completed and Fully Released.
Step 2: Sourcing
The Sourcing module is responsible for onboarding and managing vendor-related data. It ensures that all purchase-related processes are linked with approved and valid vendors.

Step 3: LP Costing
The LP Costing module is used to calculate and analyze the cost of materials.

Once costing is completed, the user must ensure it is released (LP Release) so it can be used in subsequent operations like quoting.

Step 4: Quote
A Quotation is a formal document issued to a customer that outlines product pricing, terms, and conditions based on the RFQ and LP Costing.

The quote should be created using the latest price list and must be Converted into a Sales Order

Step 5: Sales Order
Once the quotation is releasedβ€”which means it has been converted into a Sales Orderβ€”the system automatically creates the Sales Order document.

Step 6: Shop Order
To initiate the Shop Order process, ensure the relevant Production BOM is fully released through the Release BOM screen.

Only after releasing the BOM will the correct version be available and selectable during Shop Order creation.

Step 7: Material Issue
Once the Shop Order is created, the Material Issue document will be generated automatically.

A: Purchase Requisition
This is not a mandatory step. However, if the user creates a Purchase Requisition (PR), it must be created for all Purchase Parts.

After creating the PR, ensure that both PR Approval 1 and PR Approval 2 are completed before proceeding.

B: Purchase Order
The user needs to create a Purchase Order by entering all necessary information
After filling in the details, ensure that both PO Approval 1 and PO Approval 2 are completed to proceed further.

C: GRIN
GRIN (Goods Receipt Inward Note) must be created for receiving goods into the system.

Note:
  • If COC (Certificate of Conformance) is enabled in the Item Master, the relevant documents or files must be uploaded during GRIN creation.
  • If the Procurement Type is set to Service, then a Service GRIN must be created followed by Service IQC.
  • Once the GRIN is created, inventory is automatically generated in the system.

D: IQC
After creating the GRIN, proceed to the IQC (Incoming Quality Check) stage.

In the IQC screen, select the corresponding GRIN entry. If needed, User can make necessary edits or simply verify all details and save the record.

E: Binning
After completing the IQC, the next step is Binning.

Binning can be done only for items marked as "Accepted" in IQC. Rejected items will not proceed to binning.

Note: After binning is completed, go back to the Material Issue screen and issue the material by enabling the checkboxes.
Step 8: Shop Order Confirmation

Only when the material is issued, user can create a Shop Order Confirmation.

Step 9: OQC

OQC (Outgoing Quality Control) is the final inspection step before shipment. It ensures that the products being dispatched comply with the required quality standards and customer expectations.

After the OQC process is successfully completed, users are required to enter the binning details for the approved items.

OQC Binning involves assigning inspected and accepted goods to designated inventory bins for accurate storage and traceability.

Step 11: Delivery Order

The Delivery Order is created to initiate the dispatch of goods to the customer based on approved and binned inventory.

Note: This step is applicable for Finished Goods (FG) only.

If invoice is not created, user can create a Return Delivery Order

Step 12: Invoice

The Invoice is generated based on the completed Delivery Order and is essential for billing and shipment processing.

Note: Once the invoice is created, a Return Delivery Order can no longer be generated. However,user can create a Return Invoice if required.

2. Forecast – Internal

  • Based on existing or projected orders.
  • Helps in long-term planning and resource allocation.
