RECEIVABLES

Receivables refers to the outstanding amounts a business is yet to receive from its customers for goods or services provided.

This module helps track and manage customer payments against Sales Orders (SOs), making it easier to reconcile balances and monitor the financial health of accounts.

This interface allows users to:

  • Enter payments received from customers
  • Allocate payments against SOs
  • View a detailed breakdown of outstanding, received, and pending invoice amounts
  1. Click on "Finance".
  2. Under "Receivables", select "Create". STEPS TO CREATE

A page will open where users can create receivables.

Step 1: Enter Payment Details

Fill in the following mandatory fields:

  • Customer Name: Select the customer from the dropdown list.
  • Total Sum of SO Amount: Enter the total amount for which SO(s) have been created for the selected customer.
  • Amount Received: Enter the amount received from the customer.
  • Already Received: Enter the amount already received prior to this payment (optional but important for calculations).
  • Received (%): Shows the percentage of the total SO amount that has been received so far.
  • Payment Mode: Choose the payment mode (e.g., NEFT, RTGS, Cheque).
  • Payment Type: Select whether it is an advance, part payment, or final payment.
  • Payment Ref No.: Enter the reference number of the transaction (e.g., UTR number or cheque number).

Step 2: Click on "SO Breakdown"

The SO Breakdown feature allows you to allocate the received amount to specific Sales Orders (SOs). This ensures that each payment is correctly mapped and helps in tracking balances per SO.

  • Customer Name: Auto-filled based on the selected customer in the main Receivables screen.
  • Amount Received: Displays the total amount received from the customer (as entered previously).
  • Select SO: Dropdown list to select the Sales Order you want to allocate the amount against.
    • Each SO is labeled with its number and type of solution.
  • Total Value: Enter the total value of the selected SO.
  • Pending Value: Enter the pending amount that is yet to be received for the selected SO. Amount Against SO: Enter how much of the received amount should be applied to this specific SO.

Add Button: Click this after entering the allocation details. The entry appears in the table below.

Step 3: Click on "Save"

Once all details are entered, click Save to record the payment.

Tabular Data Breakdown

After entering payment data, the bottom table shows a detailed breakdown of each Sales Order (SO). Here's what each column means:

Column Name Description
SO Number Unique identifier for the Sales Order.
Customer ID ID linked to the selected customer.
Type Of Solution The solution or product type provided (e.g., software, hardware).
SO Value Total value of the Sales Order including installation charges.
DO Value (Excluded Installation Charges) Delivery Order value excluding installation fees. Helps in calculating core material/service value.
SO Balance (SO - DO) Balance amount between SO value and DO value — typically representing installation or service yet to be delivered.
Advance Received (Advance & Part Payments) Total of all advance and partial payments made by the customer.
Balance Available (Advance Received - DO Value) Difference between what the customer paid in advance and what has been delivered. Shows if there's excess advance still pending allocation.
Invoiced Value (Getapcs Invoice Value) Total amount invoiced to the customer through Getapcs.
Net Balance Available Amount available to invoice or deliver after accounting for payments and DO.
Pending Invoice Value Against DO Value that still needs to be invoiced against the Delivery Order.
Pending Amount Against SO (SO - Advance Received) Remaining amount yet to be received from the customer against the total SO value.
Pending Invoice Against SO (SO - Invoiced Value) Shows how much is still to be invoiced from the SO.
